Privacy Policy

Last updated September 16, 2026

Kudozi is operated by Adaptive Intel, LLC ("Kudozi", "we", "us"). This policy explains what information we collect when you use Kudozi at kudozi.ai, how we use it, and the choices and rights you have. It is written to reflect how the product actually works — most importantly, that we do not store your call recordings or transcripts.

Who this policy is for

Kudozi is a tool for coaches and other professionals ("coaches") who use it to find genuine praise in their own client conversations and publish it as testimonials. It also covers people ("clients") who submit a testimonial to a coach through a Kudozi invite link, and visitors who view a coach's public showcase.

Information we collect

  • Account information. When a coach signs up, we collect an email address (used for passwordless sign-in) and the practice details they provide, such as a display name, public handle, and showcase settings.
  • Testimonials and related content. The testimonial moments Kudozisurfaces for review, any edits a coach makes, how a client is credited, and content a client submits directly through an invite link (typed text or a voice recording).
  • Connected-account credentials. When a coach connects a recording source (such as Fathom or Zoom), we store the access tokens needed to read their recordings on their behalf. We store the newest token and do not store the coach's password for those services.
  • Support communications. Messages you send us and the information you include in them.
  • Usage information. Privacy-friendly, aggregate analytics about how the site is used (such as page views, approximate country-level location, and device type). We do not use third-party advertising trackers or cross-site profiling.

Call recordings and transcripts

We do not store your call recordings or transcripts. When a coach asks Kudozi to process a call, we read its transcript live, in memory, only long enough to extract candidate testimonial moments — then we discard it. The recording and transcript remain with your recording provider (such as Zoom or Fathom), which stays the system of record.

The only content we retain from a call is the short testimonial moments we surface for the coach's review. A coach approves or discards each one, and can delete approved moments at any time.

How we use information

  • To provide Kudozi: authenticate sign-in, read the recordings you connect, extract candidate testimonials, and publish the ones you approve.
  • To operate, secure, maintain, and improve the service.
  • To respond to your support requests and send you service-related messages.
  • To comply with legal obligations and enforce our terms.

We do not sell your personal information, and we do not use your content to train third-party advertising models.

How information is shared

  • Service providers. We use a small number of vendors to run Kudozi, including cloud hosting and AI processing used to read transcripts and extract testimonials. They process information on our behalf under confidentiality obligations and only to provide their service to us.
  • Services you connect. When you connect Fathom, Zoom, or another source, we exchange data with that service at your direction and subject to that service's own terms and privacy policy.
  • Public showcase. Testimonials a coach chooses to publish are, by design, shown publicly on that coach's showcase page and any sites where the coach embeds them.
  • Legal and safety. We may disclose information if required by law or to protect the rights, safety, and security of Kudozi, our users, or the public.

Data retention

We keep account information and approved testimonials for as long as your account is active. Call transcripts are not retained (see above). Connected-account tokens are kept until you disconnect that source or delete your account. When you delete content or your account, we remove the associated personal information within a reasonable period, except where we must retain it to meet a legal obligation.

Your rights and choices

Depending on where you live, you may have the right to access, correct, export, or delete your personal information, and to object to or restrict certain processing. Coaches can edit or delete their content and disconnect sources directly in the app, and can request full account deletion. To exercise any of these rights, email us at support@kudozi.ai and we will respond as required by applicable law.

Kudozi is currently offered to users in the United States and is not directed to individuals in the European Economic Area or the United Kingdom.

Cookies

We use a strictly necessary cookie to keep you signed in. Our analytics are privacy-friendly and do not rely on advertising cookies or cross-site tracking.

International transfers

We operate from the United States, and information we process may be transferred to and stored in the United States and other countries. Where required, we rely on appropriate safeguards for such transfers.

Children

Kudozi is intended for professional use by adults and is not directed to children.

Security

We use administrative, technical, and organizational measures designed to protect your information, including encryption of connected-account credentials. No method of transmission or storage is completely secure, but we work to protect your information and to limit access to it.

Changes to this policy

We may update this policy from time to time. When we do, we will revise the date above, and for material changes we will take additional steps as required by law.
